IPT Connect with Zapier

Use the IPT Connect app to link Zapier to your hosted PBX phone system. Zapier automates repetitive tasks using workflows called Zaps. To create a zap, you choose a trigger event and what you want to happen when the trigger event occurs. Zapier does the rest.

Some of the key features of IPT Connect with Zapier include:

  • Ability to integrate user role or administrator role
  • Ability to create Zap with triggers for incoming and outgoing call events, missed calls, call parking events, call queue events, receiving call records
  • Ability to click to dial through "Action"

Prerequisites

  • Zapier plan must be Starter, Professional, Team, or Company
  • You must have an IP Telecom HostedPBX account
  • Equipment for making and receiving calls, such as a softphone or IP phone, must be configured
  • All users must have their login credentials for the IP Telecom portal. To setup or change user credentials, see user credentials.

Integrating hosted PBX with Zapier

Administrators activate the users that they want to integrate with Zapier in the IPT Connect app. The users must integrate Zapier individually with their Zapier account credentials.

  1. Open the IPT Connect app in your hosted PBX portal.
  2. Click Licenses.

  3. Click on an available license with reference "zapier".

    Note

    If the integration link is missing, it means the zapier bundle is not added to the account. Contact accounts to set this up.

  4. In the "Active License" tab, you can see the list of users available to integrate. For each user, use the toggle to activate them for Zapier integration.

  5. When the user features this means the user must complete their integration. See Steps for Users.

  6. After the user is fully integrated, update user features and enable click to call. See Setting User Features.
  1. Log into Hosted PBX.
  2. From the Your Apps pages, click the IPT Connect App.
  3. Click the "Integrations" tab.
  4. Click the Zapier icon and click Go to Zapier.

  5. Alternatively, log in to your Zapier account at https://zapier.com/app/connections.

  6. Go to My Apps.

  7. Select IP Telecom's Zapier application from the dropdown and log in using your hosted PBX credentials.

  8. Click Allow to confirm integration.

  9. After you accept, your name displays on the Integrations tab.

  10. Close the IPT Connect app.

Setting user features (admin)

  1. Log into Hosted PBX.
  2. Select the IPT Connect app.
  3. From the "Licenses" tab, click zapier.
  4. Click the "User Features" admin icon for the user that you want to configure.

    If the settings icon is greyed out, the user must log into the HostedPBX Portal and complete the integration in the IPT Connect app, see steps for users.

  5. To display integration settings window for each user, click the settings icon.

  6. Adjust individual user parameters as follows:

    • Inbound events - enable/disable incoming calls processing
    • Outbound events - enable/disable outgoing calls processing
    • Click to call - enable/disable click-to-call functionality within Zapier action. Available click-to-call modes: click-to-dial.
    • Receive all events for your account - enable/disable receiving of all users' events in the account. This setting is available to administrators only. If disabled, the administrator receives only his events.
    • Events for extension numbers - indicates if you want to log events to the integration when calls to and from extension numbers happen.
    • Process calls from the call center - enable/disable call queue call events processing for agents. This setting is only available for administrators and accounts with live queues in Call Center. If enabled (and the account has Call Center), then Zapier will send all events to the user, even if he receives calls from a queue. If the parameter is disabled, only personal events will be sent to Zapier.
    • Enabled device - enable/disable call processing for all user devices. It can be enabled for all devices or just certain devices.
  7. Click Save changes.

  8. After each user is integrated and click-to-call is set up, the user features column displays their status in green.

  9. Close the window.

  10. Click Save Changes to confirm your integration set up.

Create a Zap

Following is an example of creating a zap that sends you or someone else an email if you miss a call in your hosted PBX.

  1. Log in to your Zapier account at https://zapier.com/app/connections.
  2. Go to Zaps.
  3. Click Create a Zap.

  4. Choose the application Iptelecom.

  5. Select the event that you want to trigger the zap then click Continue.

  6. Select an authorized Hosted PBX account (or log in for the first time).

  7. Click Create Trigger.

  8. Select the application that will use the event data; in this case it's Gmail.

  9. Select the action that you want to happen.

  10. Authorize in the application.
  11. Fill in the action with the information you need.

    Note

    Your options for the action will vary depending on the application and the action that you are setting up. See Zapier support for more information on creating zaps https://zapier.com/help.

  12. Press Test and Continue. You can see the test events in the application you specify.

  13. At the bottom of the screen a message appears, your Zap is ready, use the toggle to Turn it On.

Enable click-to-call per user

To enable click-to-call for a user:

  1. Log into Hosted PBX.
  2. Select the IPT Connect app.
  3. From the "Licenses" tab, click zoho-crm.
  4. Go to the user and click the phone icon

  5. Use the toggle to enable click-to-call.

  6. Click Save changes.
  7. After click-to-call is set up, the user features column displays the phone icon in green.
