Upload Audio or Media Files

To configure your phone system, it will be necessary to add or upload media such as hold music, IVR greetings or voicemail greetings to the hosted PBX portal.

Important

IP Telecom supports file types .wav or .mp3 only and files should be maximum 5MB.

Upload an audio file

To add an audio file that is stored on the PBX and you want to use in different places see Adding media files.

Upload hold music for account

  1. Log in to the hosted PBX portal.
  2. Go to the Smart PBX application.
  3. On the main dashboard, click Hold Music.
  4. Optional: From the dropdown, select predefined music or text-to-speech (TTS) files that are available for your account and click Save Changes.

  5. Optional: To upload new music files, click Upload

  6. Browse for the .wav or .mp3 audio file and click the green upload button.
  7. After you upload your audio file, it will appear in the list of options and you can set it as the hold music for the PBX account.

Upload virtual receptionist greetings

  1. Log in to the hosted PBX portal.
  2. Go to the Smart PBX > Main Number > Incoming Call Handling.
  3. For incoming calls, click Virtual Receptionist

  4. For example in the "Open Hours" main menu, upload or change a greeting that matches the incoming call routing that is configured in the "Main Menu" on the left; choose one of the following options for creating the greeting:

    • Text to Speech: Enter the following text "Press 1 for sales, press 2 for accounts and so on"
    • Upload your own file: Make a voice recording that says "Press 1 for sales, press 2 for accounts and so on". Save the recording as .wav or .mp3 and verify that it is less than 5MB. Click "Upload your own file", then choose the file you saved and click Update.
    • Choose from existing recording: Select a previously created a TTS or audio file from the dropdown.
    • Record it over the phone: Follow the instructions to record the menu greeting using your phone.
  5. Click Save to save the IVR greeting for "Open Hours".

  6. Repeat Steps 3 and 4 to record the appropriate menu greetings for the other time periods "Lunch", "After Hours" and "Holidays".

Upload voicemail box greetings

  1. Log in to the hosted PBX portal.
  2. Go to the Smart PBX > Voicemail Boxes.
  3. Click the Edit button on the voicemail box you want to modify.
  4. Go to Advanced > Options to define which media extension you'll be using.

  1. Go to Advanced > Greeting Media

  2. From the "Media" dropdown, either select the predefined greeting or audio that you need or click Upload to add a new file ('.wav' or '.mp3' only, less than 5MB).

Upload main conference greeting

  1. Log in to the hosted PBX portal.
  2. Go to Smart PBX > Main Number > Main Conference Number.

  3. Click Custom Greeting

  4. Enter the text for the greeting you want to create using text to speech.
